Reading your weekly report
Every week you get an email summarising what went out and what came back. The number to watch is Interested Leads, and it will usually be higher than the number of leads you were handed. That's expected.
What each number means
| Number | What it counts |
|---|---|
| Emails sent | Outreach emails delivered that week. Low in weeks one and two while inboxes warm up, then roughly 600 to 1,000 a week |
| Replies | Every response, including out-of-office and "no thanks" |
| Interested leads | Replies that showed real interest in an event |
| Handed off | Interested leads where you were CC'd because they asked for pricing, a call or a booking |
| Booked | Events confirmed, from your status updates and connected email |
Why interested leads is bigger than handed off
A lot of interested planners ask a question or two and then go quiet, or tell us their event is months away. Our team handles those and moves them into re-engagement. You only see the ones who are ready now, which is the point.
What a healthy month looks like
By the end of month one, a typical account is sending at full volume with somewhere in the range of 20 to 30 interested replies. Bookings lag behind interest by several weeks because planners book ahead. If you're seeing interest but no handoffs after four to six weeks, say so on your check-in and we'll look at targeting and the offer.
If a report looks wrong
The most common cause is a lead you replied to without Reply All, so we didn't see the booking. The second is a connected inbox that disconnected (it happens when passwords change). Check the Integrations page and reconnect if it shows as disconnected.
Can't find what you need? Reply to any email from your Event Captain team and we'll sort it out.
