How Event Captain outreach works

Event Captain emails corporate planners in your area on your behalf, as a member of your team, and hands you the ones who want to book. You never have to write or send anything.

Who we contact

We build a list of office managers, executive assistants, HR and people-ops leads, and event coordinators at companies within your target area (typically a 20 mile radius, adjusted on your kickoff call). Lists are researched by our team, not bought.

How we send

  • Outreach goes out from about 18 inboxes on a domain that looks like yours, usually try followed by your business name, for example tryriversideaxe.org. That domain redirects to your main website, so anyone who clicks lands in the right place.
  • Emails are signed by a sender persona on your team, with the job title rotated across inboxes so the messages don't all look identical. See About the sender persona.
  • Each planner gets the initial email and one follow-up. Once someone replies with interest, our team may follow up a few more times to keep the conversation moving.
  • We check every inbox daily. Any inbox with poor deliverability is replaced before it affects results.

Why the first two weeks are slower

New inboxes have to be warmed up for at least two weeks before they can send at volume, or your emails land in spam. Sending starts around 70 emails a day and ramps to roughly 300 a day, or 600 to 1,000 a week, once the inboxes are healthy. Expect fewer replies in weeks one and two and a steady climb after that.

What you need to do

Nothing during setup except review the sample email we send you and tell us if the tone or targeting is off. Once we go live, your only job is responding to the leads we hand you.

Can't find what you need? Reply to any email from your Event Captain team and we'll sort it out.
