Newsletters, Google reviews and event deck links

Once your database of interested planners grows, a few extra tools help you get more out of it. None of them are required.

Newsletters

A newsletter goes to everyone who has shown interest, not just the ones who booked. They work best around seasons planners are already thinking about: holiday parties from October, summer events from April. We'll draft the first one for you after your one-month check-in; you review it and we send it. Good newsletters mention one specific offer (a holiday package, a free hour of play for groups over 20, a couple of free tickets to a show) and link to your events page. Avoid generic "book with us" messages; they get ignored.

Google reviews

After an event happens, Event Captain can email the planner asking how it went and make it one click to leave a Google review. It needs a booking or point-of-sale integration connected. See Google Reviews for setup and how it works.

When you send a planner your packages or pricing, use a tracked link from Event Deck Tracking Links in Settings rather than attaching a PDF. The link shows your deck, and we can see when it's opened. If a planner who went quiet opens it four months later, that's a signal they're planning again and we follow up.

You can choose whether the link asks the viewer for their email before showing pricing. Gating makes sense for corporate pricing where you want to know who's looking. For a general one-pager, leave it open; asking for an email before showing a menu can feel like a wall.

Seasonal versions of your packages

If your group package is holiday-themed, have a non-holiday version ready for outside November to early January. Send us both and we'll use the right one in handoffs and re-engagement.

Can't find what you need? Reply to any email from your Event Captain team and we'll sort it out.
