Google Reviews: turning finished events into reviews

The morning after an event, Event Captain emails the planner asking how it went, with five stars they can click. Happy guests are one more click from your Google listing. You set it up once and it runs on its own from then on.

Before you start

Review requests need a booking or point-of-sale integration connected, because that's how we know an event happened and who to email. Supported today: Tripleseat, Rezdy, Perfect Venue, Toast and Square. Connect one on the Integrations page.

Setup

  1. Open Google Reviews from the left menu.
  2. Confirm your Google listing. We look it up by your name and address and show it with an "Is this you?" check. If we find the wrong one, paste your Google review link instead.
  3. Turn on "Send review requests after every event." The page switches to your stats from that point on.

Who gets asked

Every night we look for events that ended that day and qualify:

Integration What counts as an event
Tripleseat Events still marked Definite
Rezdy Confirmed bookings
Perfect Venue Bookings
Toast Orders of $50 or more
Square Orders with a scheduled date

Skipped: cancelled events, guests with no email address, anyone who unsubscribed or is on your Do Not Contact list, and events from before you turned the feature on.

To avoid annoying your customers, each guest gets at most one request per event, no more than one request every 90 days per venue, never another once we've matched a review from them, and nothing for 12 months after a negative response.

The email

  • Sent at 10:00 your local time the morning after the event.
  • Comes from your newsletter address by default, or from a connected mailbox you choose. Sends from a connected mailbox count toward that mailbox's 100 a day limit.
  • Subject line: "How was your experience with [your venue]?" with five clickable stars.
  • If there's no response, up to two reminders go out in the same thread, 5 and 14 days later. Reminders stop the moment the guest replies, unsubscribes, cancels, or leaves a review we can match.

What happens when they click a star

Every rating, high or low, opens the same branded page: the rating they chose, a "Review us on Google" button, and a private feedback box. We never send unhappy guests somewhere different from happy ones. Google prohibits that, and the penalty lands on your Google profile, not ours. For the same reason, there are no incentives for leaving a review.

Replies

  • A happy reply gets one thank-you in the same thread with your Google link.
  • A complaint shows up under Feedback in your dashboard and is never answered by us. It's yours to handle.
  • Anything else lands in your inbox like a normal email.

How we count reviews won

Once a day we check your Google rating and review count. When the count goes up, we pull the newest reviews and match reviewer names against requests sent in the last 45 days. Reviews won includes confirmed matches and likely matches (first name plus last initial, with plausible timing). Treat it as a minimum: anyone who reviews under a different Google name can't be matched, so your real number is usually higher.
