Connecting your email
Connecting your inbox lets Event Captain see which leads turned into bookings, so your reports show real results instead of just replies. It takes about two minutes on your pre-launch call.
Which email to connect
Connect the inbox that leads will be handed off to, usually a shared address like events@ or catering@ rather than someone's personal inbox. Whatever you connect is also where handoff CCs go, so pick the one your team actually checks.
What access we get
- Read-only. We can see threads with leads we introduced so we can track whether they booked. We don't read unrelated email.
- Sending is a separate permission and is off by default. It only gets turned on if you want to send newsletters or re-engagement emails from the dashboard later.
How to connect
- Open the Integrations page (Settings menu at the bottom left, then Integrations).
- Under Email Accounts, click Connect Gmail account or Connect Outlook account. If you use something else, click Connect other email.
- Sign in with the inbox you want connected and accept the permissions screen. You're done when the status changes from Not connected to Connected.
Outlook says "access denied" or "needs admin approval"
This is common with company Microsoft accounts. Your IT admin has to approve the Event Captain app before you can connect. Forward the approval request to your IT team, or ask them to approve "Event Captain" under Enterprise Applications in the Microsoft admin centre. Until it's approved, keep CCing us on lead replies so we can still track bookings for you.
Don't want to connect email?
That's fine. You'll still get every lead by email. The difference is your reports will show replies and handoffs but not confirmed bookings, and re-engagement sends will have to go out from our side rather than yours.
Booking and point-of-sale integrations
If you take bookings or payments through Tripleseat, Toast, Roller, FareHarbor, Perfect Venue, Square, SpotHopper or Rezdy, connect it on the same Integrations page. It gives the same attribution benefit for bookings that don't happen over email, and it's required for Google review requests. If you use a system that isn't listed, tell us; new integrations can usually be added quickly.
Can't find what you need? Reply to any email from your Event Captain team and we'll sort it out.
