How lead handoff works
Our team answers the easy questions. You only hear from us when someone is ready to talk pricing, availability or booking.
What Event Captain handles
When a planner replies asking about your menu, location, capacity or general details, our team responds using the information from your kickoff call. Most replies never need you. Some planners also get a short survey asking about headcount, budget and dates so we can qualify them before you spend time on them.
When you get involved
You are CC'd into the email thread the moment a lead:
- asks for a quote or pricing
- asks for a call or site visit
- is ready to place an order or book a date
At the same time, you'll receive a separate New Event Request email that summarises the contact's details and everything they've told us about the event, so you don't have to scroll back through the thread.
How we introduce you
The handoff email introduces you as a teammate or colleague, never as the boss or owner. If you'd prefer different wording, tell us on your kickoff call.
Please Reply All
When you respond to a handed-off lead, use Reply All so the Event Captain inbox stays on the thread. That's how we know the lead was taken care of, keep your reports accurate, and stop re-engagement emails going to someone you've already booked. If you drop us off the thread, the lead may show as unanswered on your weekly report.
Leads who never answer the survey
No action needed from you. Our team follows up with them and they stay in re-engagement until they're ready.
Can't find what you need? Reply to any email from your Event Captain team and we'll sort it out.
